Office Manager [United States]


 
Reporting to the Senior Manager, Building Operations Manager, you will encompass all aspects of managing the Santa Monica, CA HQ Campus. This includes overseeing building operations, such as the ongoing development of building policies & procedures, vendor management, and facilitating events and special projects. The Santa Monica Campus includes three office spaces, with an assigned Office Coordinator that the Office Manager will manage.

All the responsibilities we'll trust you with:

  • OFFICE MANAGEMENT

    Manage the continued development of all documented building procedures.

    Responsible for overall office appearance.

    Follow up/escalate all building repairs or safety concerns with the Facilities team.

  • VENDOR MANAGEMENT

    Vendor price negotiation and tracking within allocated Facilities team budget.

    Maintain all supplies and pantry items/snacks at each office through our 3rd party partners.

    Manage work orders for multiple on-site and external support staff.

    Process vendor invoices through our electronic processing system.

  • HIRING & PEOPLE MANAGEMENT

    Fuel Red Bull facilities with top talent by handling full life-cycle recruitment initiatives such as resume screening, in person interviews and final hiring decisions.

    Onboard and train Office Coordinators for all SM HQ buildings and regional offices.

    Manage team members to ensure all team members meet/exceed their performance goals.

    Manage Office Coordinator's time off/vacation schedule including temp coverage.

    Weekly Time Sheet Approval for all temps and full-time employees

    Manage monthly team meetings.

  • EVENTS, PROJECTS, & INITIATIVES

    Work with café operator on seasonal promotions to enhance the employee experience.

    Plan/coordinate/complete numerous SMHQ office events.

    Take lead with onsite building related logistics for office events.

    Be the Floor Warden and execute annual fire drill and other FLSS related activities.

    Support general Facilities Management requests and ad-hoc projects.

  • Superior problem-solving, proofreading, and multi-tasking skills.
  • Intermediate skills in Microsoft Suite (Word, Excel and PowerPoint).
  • Bachelor's Degree is required
  • Travel 0-10%
